Privacy policy
Qaptic (“Qaptic”, “we”, “us”, “our”) provides a furniture-market intelligence platform. This Privacy Policy explains what personal data we process, why, the legal bases we rely on, and the rights you have. It applies to our website and the Qaptic workspace (together, the “Services”). 1. Who we are
Qaptic is the controller of the personal data described in this policy. For any privacy question, or to exercise your rights, contact hello@qaptic.com. If you have a concern we can’t resolve, you have the right to complain to your data protection supervisory authority.
2. The personal data we process
Information you provide: when you request a scan, contact us, or use the workspace, we process your name, work email, company, role, and the content of your messages. Account & billing information: for customers, we process the contact and billing details needed to administer the subscription. Information collected automatically: when you use the Services we collect usage, device and browser information, IP address, and cookie identifiers (see section 4). Market data is not personal data — the competitor and market information Qaptic analyses (public prices, listings, assortments, campaigns and demand signals) is public commercial data about products and companies, not personal data about you.
3. Why we process it, and our legal basis (GDPR Art. 6)
Provide, operate and support the Services and respond to your requests — performance of a contract, or steps taken at your request before a contract. Secure, maintain, analyse and improve the Services — our legitimate interests in running and developing our business, balanced against your rights. Send marketing where permitted — your consent, withdrawable at any time. Meet legal, tax and accounting obligations — compliance with a legal obligation.
4. Cookies and similar technologies
We use strictly necessary cookies to operate the site and, with your consent, analytics cookies to understand and improve usage. You can manage non-essential cookies through our cookie controls at any time.
5. Who we share data with
We share personal data only with service providers (“sub-processors”) who help us run Qaptic under contracts requiring them to protect it — for example cloud hosting, database (Supabase), transactional email (Resend), and analytics. We do not sell your personal data. We may disclose data where required by law or to establish or defend legal claims. A current list of sub-processors is available on request.
6. Where your data is stored and international transfers
Qaptic is hosted within the EU and personal data is stored on EU infrastructure. Where any transfer outside the EU/EEA is necessary, we rely on an adequacy decision or put appropriate safeguards (such as Standard Contractual Clauses) in place.
7. How long we keep it
We retain personal data only as long as necessary for the purposes above, to administer your account, and to meet legal obligations, after which it is deleted or anonymised.
8. How we protect it
Data is encrypted in transit and at rest, access is restricted on a need-to-know basis, and further detail is on our Security page.
9. Your rights
Subject to applicable law you may request access to your data, and its rectification, erasure, restriction or portability, and you may object to certain processing or withdraw consent at any time. To exercise a right, email hello@qaptic.com. You also have the right to lodge a complaint with your local data protection supervisory authority.
10. Children
Qaptic is a business tool and is not directed to anyone under 16.
11. Changes to this policy
We may update this policy; we will change the “last updated” date and, for material changes, provide additional notice.
